How to Conduct a Business Impact Analysis (BIA)

A Business Impact Analysis (BIA) is the foundation of continuity planning. It works out which activities your organization must restore first after a disruption, how long each can be unavailable, and what recovery objectives you are committing to.

What a BIA answers

Which activities are most critical? What happens if each is unavailable for an hour, a day or a week? How much data can you afford to lose, and how quickly must each activity be back?

MTD, RTO and RPO explained

The Maximum Tolerable Downtime (MTD) is how long an activity can be down before the impact becomes unacceptable. The Recovery Time Objective (RTO) is your target for restoring it. The Recovery Point Objective (RPO) is how much data loss you can accept, measured in time.

The BIA process, step by step

Inventory your activities, rate their operational and financial impact over time, identify dependencies on people, systems, suppliers and facilities, then set RTO and RPO for each and confirm them with the activity owner.

Critical activities and dependencies

Focus on the few activities customers and obligations depend on. A dependency you cannot see — a single supplier, a shared system, one expert — is where most recoveries fail.

From BIA to recovery priorities

The BIA output drives your continuity and recovery planning: which systems get restored first, what backups you need, and which manual workarounds to document. Every objective needs an owner and a review date.

Frequently asked questions

What is a Business Impact Analysis?

A structured study of how disruptions affect your critical activities over time, used to set recovery priorities and objectives such as RTO and RPO.

What is the difference between a BIA and a BCP?

The BIA decides what must be restored and how quickly. The Business Continuity Plan documents how you will actually do it, including roles, communications and strategies.

How do I set RTO and RPO?

Base them on the impact of downtime for each activity, then confirm what is technically and financially achievable. They are targets agreed with the activity owner, not wishes.

How long does a BIA take?

A focused first pass for a small business can take a few hours using a guided template; a larger organization may spread it over several sessions.

Can I produce a professional BIA report for free?

Yes. The AcraSolution guided BIA tool turns your answers into a professional report you can export and share.
